Forward supplier mail to a dedicated MPower address. MPower reads it, matches it to the right order and PO, and applies the update — order confirmations, tracking, supplier holds, art proofs and invoices.

Five kinds of supplier mail

Order confirmations

Matches the confirmation to your purchase order and moves it toward In Production, with the change written into the order's audit trail.

Tracking notices

Reads UPS, FedEx, USPS, DHL and OnTrac numbers, attaches them to the shipment, and sends your customer the notification.

Supplier holds

Puts the order and the specific PO on Supplier Hold and captures the supplier's stated reason as a follow-up, so nothing stalls quietly.

Art approval requests

Holds the PO for art, pulls out the proof links and summary, and keeps the message in Review until a person signs off.

Supplier invoices

Saves the attachments and opens the invoice in Accounting → Invoice Reconciliation, where your team matches and approves it as usual. Parsing speeds the paperwork up; it never approves a payment for you.

Orders → Inbox

Confident enough to act. Honest when it isn't.

Every message lands in your inbox as a row you can open, with a status: Pending, Processing, Review, Complete or Failed.

MPower only applies a workflow when the match is clear — the confidence bar sits around 85%. Below it, the message waits in Review with the reason it stopped. Add the missing context and hit Apply Workflow to run it again. Mail it can't classify still gets a row, so nothing disappears.

Setup

Three steps, once.

Find your distributor ID

The 24-character ID on your distributor record. You'll use it in both addresses.

Point supplier mail at it

Use [email protected] on purchase orders, and [email protected] for accounts payable.

Forward the old mailbox

Send your shared purchasing inbox to the same address so supplier replies stay in one thread.

The +YOUR-ID part is what routes the mail to your account. Messages sent without it can't be placed, so they're dropped.

FAQ

Questions we get.

Which suppliers does this work with?
Any supplier that sends you email. There's no integration to request and nothing for the supplier to sign up for. Matching improves when your PO number appears in the message, so putting it in your outbound PO template is worth the two minutes.
What happens if it picks the wrong order?
It won't apply a workflow it isn't confident about. Ambiguous messages stop in Review with the reason — low confidence, or an order and PO it couldn't resolve. You add the context and click Apply Workflow to run it again.
Does it email my customers?
Only for tracking. When a tracking number is applied, the customer notification goes out the same way it would if you had entered the number yourself. Confirmations, holds, art requests and invoices stay internal.
Where do supplier invoices end up?
Attachments are saved and the invoice opens as a row in Accounting → Invoice Reconciliation. Your team still matches it against the PO and approves it — the parsing just removes the retyping.
Do I need a separate address for each supplier?
No. There are two addresses per distributor. The confirmations and invoices prefixes are there to help your team route mail internally; classification doesn't depend on which one a message arrives at.
